Time Management Strategies: How to Make Sure Your Time Is Well Spent

​You usually devote longs hours and late nights to being productive. An overwhelming schedule might be a sign that you’re not managing your time well. Stop wasting your precious time and pick up some of these time management strategies to make sure that every minute is time well spent.


​Simplify Complex Tasks

Something that is likely taking a large chunk of your time is trying very hard to tackle complex and difficult tasks. An excellent strategy that might work for you is to break down the task into small operations. It makes the problems or tasks easy to handle by taking it one small, simple step at a time. Therefore, it saves you more time, resources, and energy.


Prioritizing Responsibilities

To make sure you’re putting your time and efforts on the important stuff, you need to prioritize your tasks and responsibilities. All you need to do is to organize a plan by categorizing them into four groups or levels of importance.


  1. First Priority
    Tasks that gives long-term results should take number one in your priorities. Valuable actions like hiring a new employee, setting up the new branch location, or formulating a major proposal. You need to allocate 20% to 30% of your time on these tasks.

  2. Second Priority
    After taking care of your main responsibilities, now you are ready to tackle the things that you need to get done for the day. These activities should include updating records, checking shipments, reviewing contracts, supervising employees, and corresponding with clients. These responsibilities can be a lot and keep you busy most of your workday. Allocate more time, at least up to 30 percent, to accomplish everything on your list.

  3. Third Priority
    Now, for the 25% of your time, you should be handling scheduled tasks that have been planned for you. You can take care of the paperwork, meetings, reports, and other administrative tasks.

  4. Non-Priority
    These are activities that you should delegate, decline or remove from your schedule. These are tasks that are not your responsibility like fixing equipment, reading newsletters, contacting the helpdesk and other things that others can do for you.

Developing and Improving Your Strategy

Taking breaks should be a regular part of your schedule. It sounds counter-productive, but it is not. It gives you time to refresh, take a step back and refocus to realign your progress and goals. A moment to relax encourages creativity that you can implement in your business.
